About Prospect-Orbit

Prospect-Orbit is an all-in-one recruiting command center for student-athletes and their families. It helps you organize your school pipeline, log and track coach communication, compare offers, stay on top of compliance deadlines, and make confident recruiting decisions — all in one place.

It's built primarily for student-athletes (and their parents/guardians) navigating the college recruiting process across volleyball, basketball, football, baseball, soccer, and softball. Club directors, high school directors, and recruiters also have dedicated portal views.

No. No recruiting tool can guarantee an offer, scholarship, or athletic outcome. Prospect-Orbit gives you an organized system and the right information to put your best foot forward, but recruiting success depends on your effort, talent, fit with programs, and many factors outside anyone's control.

Plans & Pricing

We offer three tiers: Free, Pro ($49/month), and Elite ($99/month). Each tier unlocks more automation, AI features, and support. You can compare the plans in detail on our pricing page.

Yes. The Free tier lets you get started tracking schools and logging activity at no cost. Paid tiers add things like automatic email syncing, AI advisor, offer review, and Elite automations.

Absolutely. You can cancel your subscription at any time through your account settings. Cancellation stops future billing — you keep access to paid features through the end of the billing period you already paid for. We don't issue refunds for partial billing periods.

Yes. Pro and Elite plans can be billed annually at a discount compared to paying month-to-month. Your locked-in price is captured at signup so future pricing changes won't change what you pay.

Email & Calendar Integration

If you connect your Gmail, Outlook/Microsoft 365, or iCloud mailbox, Prospect-Orbit reads your inbox to identify messages with college coaches and recruiting programs and automatically logs them to your Activity Log. This saves you from manually entering every email you send or receive.

No. We only access email metadata and content needed to identify and log coach-related communications. We do not read or log emails unrelated to your recruiting activity, and we never sell your email content or metadata.

Yes. Connections use OAuth (the same secure standard used by Google and Microsoft), and we request only the minimum permissions needed. You can disconnect at any time from your account settings or directly through your Google/Microsoft account permissions.

Yes — if you connect a Google Calendar, official recruiting deadlines and key dates can be synced to your calendar so you never miss a dead period or eligibility window.

The Recruiting Process

Most families start building their school list and sending introductory emails in the athlete's freshman or sophomore year, ramping up through junior year. Prospect-Orbit helps you track where each program stands and reminds you when it's time to follow up so nothing slips through the cracks.

Our college directory lets you search by division, conference, location, and sport. When you add a school to your board, we try to pull in the program's head coach and contact info so you can start a conversation quickly.

Dead periods are windows when NCAA/NAIA rules prohibit coaches from certain types of contact with recruits. Contacting a coach during a dead period can create confusion or even compliance issues. Prospect-Orbit's Key dates page flags these windows so you time your outreach correctly.

It depends on the relationship and priority of the school. Prospect-Orbit auto-suggests follow-up timing based on a school's priority (sooner for high-priority programs) and reminds you when a follow-up is overdue — so you stay on a coach's radar without being overbearing.

Data, Privacy & Safety

You and your family own your individual data — your communications, activity logs, and engagement metrics belong to your account. We do not sell athlete or family data to third parties.

Club directors receive aggregate, roster-level views only. They do not have access to individual athletes' email content, private communications, or individual-level engagement data. This is an intentional design choice, not a technical limitation.

Yes. Prospect-Orbit is designed for use by student-athletes, many of whom are minors. Athletes 13 and older can create and manage their own accounts. Parents and guardians can join their athlete's board to view it. We do not knowingly collect personal information from children under 13 without verifiable parental consent, consistent with COPPA.

You can request deletion of your account and associated personal data through the in-app account deletion option (where available) or by contacting us. We'll delete or anonymize your personal information within a reasonable period, except where we're required to retain it for legal, tax, or security purposes.

AI Features

The AI Advisor answers recruiting-strategy questions, and helps you think through next steps. (Coach emails in your voice come from My Voice, not the Advisor.) Think of it as a knowledgeable sounding board — it's a tool, not a guarantee.

No. The AI-driven Offer Review, on Pro (2 a month) and Elite (unlimited), is fully automated and does not include human review of individual submissions. If you want a human to review a specific offer or decision, consult a qualified advisor independently of Prospect-Orbit.

Always verify compliance-related deadlines and requirements directly with your school, club, and the relevant athletic association (NCAA, NAIA, NJCAA, etc.). AI-generated summaries and recommendations may contain errors and should not be treated as legal, financial, or compliance advice.
